The triangle hub Miyazaki ("we", "us", "the inn") recognizes the importance of guests' personal information and handles it appropriately in accordance with Japan's Act on the Protection of Personal Information ("APPI") and other applicable laws.

• Contact number
• Date of birth
• Face photo (for identity verification)
• Group photo (for travel companion confirmation)
• Stay dates
• Preferred language

2-2. From foreign guests without a Japanese address (additional)

• Nationality
• Passport number
• Passport photo page image

Required by Article 4-2 of the Inn Business Law Enforcement Regulations and related Ministry of Health, Labour and Welfare notifications.

3. Purpose of Use

We use collected information solely for:

1. Creating and retaining the guest register (legal obligation under Article 6 of the Inn Business Law)
2. Identity verification (matching face photos and passport images)
3. Emergency contact during your stay (accidents, disasters, health emergencies, etc.)
4. Check-in / check-out notifications to the operator only
5. Reports to authorities as required by law (police, public health, tax authorities, etc.)
6. Statistical analysis for service improvement (anonymized data only)

We will obtain your prior consent before using your information for purposes beyond the above.

4. Retention Period

After the retention period, data is automatically deleted from our systems.

5. Security Measures

• Cloud storage with Cloudflare (US-based, data centers in Tokyo, Japan)
• Database: Cloudflare D1 (Tokyo region)
• Image storage: Cloudflare R2 (Tokyo region, AES-256 encrypted)
• Administrator access: limited to the operator (Ryuichiro Kobun) via two-factor authentication (Cloudflare Access)
• Physical access control: the on-site tablet uses Guided Access mode to prevent access to other apps
• All communications: encrypted via TLS (HTTPS)

6. Disclosure to Third Parties

We do not disclose your information to third parties except:

1. When required by law (police, tax authority, public health bureau, court orders, etc.)
2. When necessary to protect life, body, or property and your consent is difficult to obtain
3. With your prior consent

7. Outsourcing (Data Processors)

We oversee these processors to ensure appropriate handling.

8. Cross-border Data Transfer

Cloudflare, Inc. is a US-based company, but your data is stored in Tokyo, Japan. Their privacy policy is published at https://www.cloudflare.com/privacypolicy/.

9. Your Rights

You may request the following regarding your personal information:

• Disclosure of held information
• Correction, addition, or deletion (if inaccurate)
• Suspension of use or erasure (if handling violates law)
• Suspension of third-party provision

Please note that information required to be retained for 3 years under the Inn Business Law may not be deleted upon request.

We currently do not use cookies or analytics tools on our self check-in terminal.
